WhatsApp AI agent for clinics: replies, qualifies and books 24/7
An AI agent for a clinic is a system that answers every patient who writes on WhatsApp, the website or Instagram within seconds, at any hour, qualifies which treatment they want and when, and books the first visit. Reception receives confirmed appointments with context instead of an inbox of unanswered messages.
The problem it solves
In a clinic, the patient writes when they can: at lunch, at night, on the weekend. And they write to several clinics at once. The one that answers first gets the appointment; the one that answers Monday morning arrives after the decision is made. In the clinics we've worked with, time to first reply is the variable that moves appointment conversion most — more than the ad and more than the price.
What the agent does, step by step
- Replies instantly, in the patient's language (Spanish and English by default; others if the clinic needs them), in the clinic's tone.
- Qualifies without interrogating: which treatment, how urgent, first visit or not, availability. Three or four questions spread through a natural conversation, not a form.
- Shares what the clinic has decided to share: indicative price, what the first visit includes, financing if it exists.
- Books into the clinic's real calendar, in the slots the clinic has opened for first visits.
- Confirms and reminds at 24 and 2 hours, and handles rescheduling if the patient can't make it.
- Escalates to a person when it should: a clinical question, an upset patient, a complex case. With the whole thread, so nobody asks "how can I help?" to someone who has spent ten messages explaining.
The limits, which are part of the product
- It never asks for or stores clinical data. Contact details and treatment of interest, nothing else. That's a rule of the system, not a preference.
- It doesn't give medical advice. Any question about suitability, symptoms or medication is handed off.
- Everything is logged and reviewable. The clinic sees every conversation and adjusts what the agent says.
Its second job: reactivation and follow-up
The same agent works the patient base that already exists: quotes delivered but not closed, pending check-ups, postponed treatments. A well-timed message, in the clinic's tone, with booking two taps away. It's usually the part of the system with the highest return, because the patient already knows the clinic.
It runs on our AI agents and pairs with paid acquisition for clinics: the ad brings the patient, the agent puts them in the chair.

Frequently asked questions
Does the agent give medical information?
No, and it's configured not to. It answers about treatments in general terms, indicative prices, opening hours and what the first visit involves. Any clinical question — whether a treatment suits that patient, medication, pain — is handed to a member of the team with the conversation context.
What about data protection?
The agent only asks for name, phone number and treatment of interest. It never requests or stores history, diagnoses or any health information. The privacy notice is shown in the conversation and the data lives in the clinic's own system, not with a third party.
Does it replace the receptionist?
It takes the part a receptionist can't do: answering at 9:40pm on a Sunday, handling ten people at once, and never dropping a follow-up. Reception keeps the front desk, the complex calls and the in-person care — which is where they actually add value.
